Terms and Conditions
Absence
Dates once agreed prior to enrolment and are engraved in stone once booked; Students are expected to attend practical sessions as agreed with waivers during health pandemic such as COVID19. In the event of a student being unable to attend a date, then students will be required to pay $100 administration fees to arrange alternative tuition to make up for each missed session.

Administration

Attendance and time schedule

Practical course modules are agreed prior to enrolment. In the event of pandemic such as Covid19, we will be performing risk assessment and social distancing and wearing full PPE as recommended for a close contact treatment. Follow up sessions will be done via video assessment. Please ask your tutor for latest updates and venue address prior to attendance. A video assessment may be pre-arranged with your tutor for your accreditation.

Cancellation of enrolment

Your course commences with your online theory resources and not the practical classes. Once you have accessed your online contents for the course that you signed up, it is taken that your course has started, and there will be no chance for you to change your mind. (Prevailing cooling off period apply)
If a student decides to leave the course and where instalment payments have been agreed, payment for future instalments will still be required, in accordance with these Terms and Conditions agreed between the student and school.
SOHA Institute shall not be held liable for any disruption or delay in the delivery of a course where unforeseen forces or events, out of our control, cause us to be unable to proceed such as unforeseen circumstances like war, pandemic, epidemic, terrorism, earthquakes, hurricanes, acts of government, serious illness etc

Certificates

Certificates normally come through after 31 working days. There will be additional postage charges for registered mail based on prevailing rate and your designated address where the original certificate should be delivered. For VTCT (ITEC) students will receive an overall grade. Marks for the units attempted are no longer issued.

Code of conduct

Students are always expected to treat each other with politeness and respect and when models are present to follow professional conduct recommendations and behave in a professional manner. When performing treatments at home and for video assessments students are expected to be smart and professional and wear the required uniform.

Complaints

In the unlikely event that you need to complain about any aspect of the training which you have received from SOHA Institute, you must notify the Administrator in writing by recorded delivery within 48 hours of the activity giving rise to the complaint having occurred.

Course Fees

Course balances must be paid upon enrolment of the course unless you have agreed to pay by instalments. Course fee instalments are subject to contract and must be paid calendar monthly from the first payment made, late payment fees $30 will be charged for overdue payments. Failure to pay agreed instalments or make sufficient funds available may result in course dismissal or legal action. Cheques are no longer accepted at SOHA Institute. We encourage e-payment. 

Dates

Please note that by enrolling onto the course, you will be expected to adhere to: –

  • Practical dates agreed
  • Complete course work and online units by all deadlines set by your tutor

Delivery Policy

Most of our courses are made up of two parts: –

  • Theory – this consists of online units using third party LMS which is a cloud-based learning management solution. There will be a series of online training, Questions to Ask Yourself (QTAY) and practice quiz to be completed within specific timeframes. Please see your specific course Deadlines and Course preparation document for details.
  • Practical Online Units, Face to Face teaching and Video Assessments – Your course has theory units and practical videos for you to complete before attending your practical face to face session with your tutor. After your practical session there will be Video assessments to monitor your progress and give you feedback on your techniques and routine. You will be required to bring your own equipment to reduce contamination and practice at home and complete case studies. Again, please see your specific course information for details.

Examination Enrolment

Enrolments for examinations need to be submitted by SOHA Institute at the latest 8 weeks prior to the exam. All students would normally be entered at this time. Please be aware that name changes cannot be accepted at this stage, your certificates must be in the same name as your initial course enrolment. Please check the spelling of your name on the examination paper and advise your invigilator and the Principal if there is an error, failure to do so may result in charges by external assessment bodies if certificates require a change due to incorrect spelling errors.  Late registration fee may be imposed after the deadline. 

Examination Fees

Examination fees are due 9 weeks prior to the examination date and must be paid either in cash on a practical module or by bank transfer (Please check with admin@soha.edu.sg for details)

Where student’s examinations are postponed, or a student is withdrawn due to case study problems or lack of attendance the examination fee will be lost in administration charges. Where credit conditions are satisfied i.e. Dr’s note delivered within 5 working days of the exam as evidence of for ill health etc, a credit may be applied for, but admin fees may be charged to the student. SOHA Institute takes no responsibility for any decisions made by external assessment bodies and will only re-enter students when a second payment is made.

Funding

SOHA Institute is a privately held and is not registered for government learner loans..

Grievance and Complaints Procedure

SOHA Institute Complaints and Grievance Procedure is available upon request by email via admin@soha.edu.sg

Health Problems

If you have any health problems or concerns which may affect your performance or attendance, please advise SOHA Institute prior to enrolment. If you are absent from part of or all of a module, proof in the form of a Dr’s letter must be produced and retaking that module will be necessary to be eligible for examination enrolment, and additional tuition fee may be charged in this case.

ITEC

We are an approved training centre with VTCT Skills (ITEC). They are also currently the only therapy exam board that send out external examiners and assess ability through externally marked theory exam papers. Their diplomas are recognised worldwide and are a recognised industry standard at NVQ Level 3 on both the QCA and Qualifications Curriculum Framework. Where ITEC change their syllabus, fees, or Recognised Prior Learning policies, with short notice SOHA Institute can accept no responsibility for these changes.

Learning difficulties

Please advise your tutor of any learning difficulties or special needs prior to attending the course and inform your tutor on the first day.

Learning Management System

TalentLMS is a reliable online learning program which requires good internet access for its success. If you find the program jumping or sticking it is usually your PC or internet connection that is the issue. Please upload alternative browsers i.e. Firefox, Microsoft Edge or Chrome and check from other laptops and iPads to resolve this temporary issue. This course is not suitable to be completed by phone only, it is recommended that you have a computer, laptop or iPad for this course

Students are encouraged to complete each system in order and fill in a review of the course at the end before they can print their certificate with their grade of achievement. It is advised that you print your certificate prior to resitting or taking a unit, as these marks will be lost in the reset process and cannot be achieved.

Mock Exams

Students must pass the mock examinations with 60% in order to sit for the final examination. AP301 Mocks are online and practical mocks, if applicable on the last module and are supervised by the tutor under strict examination conditions and full uniform etc.

Refund Policy

A full refund will only be given if you change your mind within 7 days of enrolment and access to your online learning, providing you have not completed more than one online learning topic.

In summary, by starting any of the online learning modules with SOHA Institute you agree with our terms and conditions.

Sickness Policy

If you are sick or taken ill and miss your practical session of the course, you will be required to:

  • Inform SOHA Institute at by telephone/Whatsapp, not by email
  • Provide evidence of your illness in terms of COVID 19 test results if relevant or GP letter confirming illness for evidence
  • Evidence must be provided within five working days of the illness
  • Cancellation fee of $50 will be charged to cover venue and admin costs
  • Failure to provide such evidence may result in your being dismissed from the course or charged additional tuition fees for your rescheduled practical.

Termination of agreement
SOHA Institute may at any time by written notice terminate this agreement or suspend the performance of all or any of the obligations hereunder immediately and without liability for compensation if: –

  • Any payment of any money payable by the Student to SOHA Institute is not paid on the due date whether demanded or not, or
  • The client is rude or abusive to a member of staff of SOHA Institute or otherwise undermines them, their advice or
  • In the opinion of SOHA Institute, there has been a breakdown of trust and confidence between the Student and SOHA Institute. 

Transfers

SOHA Institute is a private college and tutors do not receive a salary, course fees are therefore allocated to each individual course and the financial viability of that course is based on that payment. SOHA Institute apologises that it is not possible to arrange transfers which would undermine the viability for other students. Once your practical course dates are arranged and agreed prior to enrolment these dates are engraved in stone and cannot be changed.

When you register for the course, you would have deemed to have accepted these terms. You agree to SOHA Institute holding this information. SOHA Institute will not pass on any of your data to any third parties.
